CREATIVE WRITING EXERCISE
Jean Marler led us in the exercise. Jean introduced proverbs and explained how they can be used as the genesis for an entire story. Our writers took us their pens enthusiastically and soon each had a new a tale to tell. Thanks Jean for the exercise and the effort that went into it.

The previous minutes were approved by unanimous consent.
Financial Report
Jean Marler presented the Financial Report. We have $3,092.05 in the bank.
Acceptance of the Financial Report was moved by Jean Marler and seconded by Jeannie Haughton.
Membership Report
We discussed the meaning and benefits of membership, the duration of membership, the collection of membership dues and how best to keep members informed as their membership status changes.
New attendees Cassie Reynolds and Michelle Leary were welcomed.
Action: Executive to propose clear guidelines around how membership is entered into and how it lapses.
Action: Secretary to privately email each member with their current membership status.

Pre-Scribe
· Rodney Williams described the nature of Pre-Scribe for new attendees then provided a report on the progress made by the editorial committee to date.
Writing Saturdays
· Ford Carter provided a report on how the last Writing Saturday went.
Publicity Report
Barbara Erskine was absent so no publicity report was given.
Banner Report
Jeannie provided an update on the progress of getting our own banner.
Correspondence Report
David Mansfield described the central role that the network’s website would play in communications going forward.
The National Library has written to us requesting copies of Pre-Scribe.

Led by Jennifer Fell. Jennifer handed out postcards she had received from people around the world in years previous. The goal was for each of us to write something related to the postcard; whether it was the picture on the front, the stamp, the writing, the message content or anything else the postcard triggered in us. Thanks Jennifer, it was great way to stimulate new directions in our writing!

Kathie Olden assumed the chair for the election of a new executive committee.
1. Thanks were given to the previous executive team and gifts were presented for the valuable leadership they had provided the Network in previous years.
2. Final nominations for President were requested, but none were given.
3. Mikaela Power was elected President
4. Final nominations for Vice President were requested, and Jennifer Fell accepted her nomination.
5. Jennifer Fell was elected Vice President.
6. Final nominations for Secretary were requested, and David Mansfield accepted his nomination.
7. David Mansfield was elected Secretary.
8. Final nominations for Treasurer were requested, and Jean Marler accepted her nomination.
9. Jean Marler was elected Treasurer.
10. The position of Publicity Officer was offered to Olive Lyon, who accepted.
11. The position of Web Author was offered to Liz Jacobsen, who accepted
12. The shared position of Fundraising Co-ordinator was offered to Barbara Erskine and Kim Mullins. Barbara accepted. Kim is still to confirm her acceptance of the position.
13. The position of Events Coordinator remains unfilled at this time. Both Ford Carter and Naomi Duff are considerations for this role.

The following people have indicated their willingness to assist in these ways:
- Esther Martin: Booking the library for our monthly meetings and other occasions; picking up the key for the meeting room and dropping it off afterwards; setting out the books in our library.
- Barbara Alice Erskine: Organising the supper roster and buying supplies.
- Jennifer Fell: Keeping the notice board up-to-date; doing layout for special notices/posters and printing them off.
- Paul Degraaf: Printing off Name Tags for new members
- Paul Degraaf, Esther Martin and Jennifer Fell: Setting up the room for our meeting
ANY OTHER BUSINESS?
Janet Marsh to send one final email to all members including email addresses in the CC: Field. This may be something we do after each AGM so that members can easily contact each other.
Olive Lyon requested that whenever Guest Speakers were scheduled that she be notified at least two weeks in advance to allow her to write an article in the local paper regarding the special event.
PRE-SCRIBE UPDATE
Rodney Williams provided an update on the progress of Pre-Scribe. The quantity of contributions was strong with many arriving at the deadline. Additionally, a number of local artists have contributed their work for inclusion in Pre-Scribe allowing us to continue the theme of pictures and words established by previous editions. Thanks go to Janet for the constant reminders and to Jennifer for the writing days and professional responses.
The Pre-Scribe Committee will be meeting at Janet’s house this Saturday to commence the process of reviewing the submissions for publication.

Led by Liz Jacobsen. Liz spoke about how a well-edited manuscript has a better chance of being accepted for publication than a shoddy one. With that in mind she spoke briefly about 'the apostrophe' and then presented us with a correction exercise. There were probably 70 mistakes on the page. Our mission: to find and correct them. Thanks Liz, it was very stimulating and educational!

Events report: RiAus Day in August was a great success. About 40 people overall were involved.
Publicity: Olive is doing a great job getting information into the 'Gazette'. Progress is being made on the Banner. Jeannie will continue to finalise details on it.

We have 28 paid-up members and Liz accepted 2012-13 subscriptions that night. [it is interesting to note that the sum total of our annual subscriptions does not even cover our insurance costs!]

Events report: Writing Day at the Arts' Hub - October 7th from 10.30am. [2 Murray Street in Yarragon]. Bring along the pieces you are working on for Pre-Scribe 4.

David raised the issue of whether members could use the BBWN cheque book when entering competitions. The cost of a money order or bank cheque is ridiculous in comparison to the entry fee. Under discussion.
Liz requested that we put a padlock on our cupboard in the kitchen. Naomi Duff and Paul Degraaf to action this. Kathie, the librarian, requested that we still don't keep money in the cupboard, even under padlock.
A feedback sheet was distributed and members were asked to fill it in. [if you weren't at the meeting, please could you post your copy in as it will help in constructing next year's programme]

Naomi Duff is writing every day for a website. Wayne read his poetry at a Writers' Festival in Creswick and was asked for his email address so they could ask him to return. [well done, guys!]

On Thursday 11th of October at 6.30pm at Warragul Library there is a guest author coming to speak: Peter Watt, writer of 'Cry of the Curlew' and many other historical novels. The event is free but bookings will be essential. It promises to be a great evening. (03) 56222848 for bookings.
The next 'Between the Covers' is on Wednesday 24th of October at 2.30pm at Drouin Library. In this session we will support the 'Gardivalia Festival' and explore the world of garden writing; diaries, journals, and novels. 'How to' titles will also be showcased.

PRESENTATION
Jo Hinchliffe presented 'Poetic Forms'. This is how one member described it: 'Jo led a mixed age group of adults - and one child-of varying backgrounds into the realms of poetry in an engaging and inventive way. Her ideas to start a poem and then the mandala approach produced some very thoughtful, and some even beautiful, writing that tapped the inner selves of the group in a gentle and revealing way; the epitome of poetry writing.'
It was a great evening. Jo has asked that if members found it helpful could they write an appraisal which she can use in her promotional material for non-school groups, such a ours. Please send this in to me asap.

Our next meeting, the AGM, is on October 18th. The theme for the evening is 'Celebration'. Enough nominations have been received to fill all the positions. After the AGM we will be asking members to write about their successes since joining BBWN and our prize-winning writers will be asked to read some of their works. We will also be discussing next year's programme.
If you have any works in progress, i.e. writing you are still working on, please could you bring it along to the meeting. This is for critiquing purposes. Remember you need to bring along at least 10 copies of your piece so others can read it and write comments.

BBWN CREATIVE WRITING EXERCISE
Geraldine Burrowes led us in the exercise. Copious newspapers were cut up and the chosen words were placed in a paper bag. What came out, at random, was our poetry! Thanks for the exercise and the effort that went into it, Geraldine.

Events report: Jennifer Fell reported that RiAus is all go for this Saturday, August 18th at 2.30pm in Drouin Library.
Publicity: Posters for next month's meeting are available. Please distribute them around the district.
Banner: Jeannie reported on the banner. For $250 we can get a pull-up banner on a solid base and also help with the designing of it. The meeting gave Jeannie permission to proceed.

October AGM: The positions of President, Secretary and Treasurer are coming up in October. Carol has explored what is needed and according to model rules only 3 business meetings a year are required. Carol has also noted our 'statement of purpose' and what are the roles and obligations of President, Secretary and Treasurer. According to the Corporation Act we still need those three roles but in a pared down business agenda there will be far less work.

After the break, the poet, Jillian Durance, spoke to us. Her topic was 'On a Personal Note’. Through poetry she discussed writing and reading about the people you know – especially those who are dying. She also read from her latest collection, “Shadows with Colour”. Jill was also able to answer our questions re ethics, emotion and finding inspiration. Thank you, Jill!

Our next meeting is on September 20th. We start promptly at 6.30 with a creative writing exercise. After a short business and feedback meeting, our guest presenter will be Jo Hinchliffe, speaking on ‘Patterns in Poetry’. She says this will be an hour of putting pen to paper to create a canvas of diverse word pictures and patterns in a fun and non-threatening session. Bring paper, a pen, a lead pencil and eraser.

Lisa has resigned because of health issues; Janet is moving overseas and Liz has offered to assist the new treasurer in taking on the role. Please consider what part you might play in BBWN. The Corporation Act is under review so we will have to time to consider how BBWN will function in the future.

Are we part of the Artists' Alliance? Could we join as a group? Jeannie to explore this option. We discussed the possibility of displaying our work at 'The Hub'. It costs $10 to rent wall space/shelf for 3 months. We could buy a framed board at Bunnings.

Lisa attended the Kilmore Celtic Festival's poets' breakfast. There were three award sections. The 'Syd Cantlon' People's Choice Award (perpetual trophy), the 'Judges Award for Best Poem', and the 'Celtic Poem Award'. She won both the 'Syd Cantlon' and the 'Judges Award' on the day. She has also had two pieces on display as part of the 'Cathartic Art Exhibition' at the WGAC.
Rodney received a copy of a major American journal featuring Australasian literature, called "Antipodes", which included a poem of his: it's a significant honour - famous writers/ poets are featured, and the journal even pays you ... This is the third time he's been in it.

PRIOR MEETING
Ursula Dubosarsky met with us at 4.45 for an insiders's view of writing and publishing. It was great to see her books and hear the stories behind them. [I've since bought her 'Word Spy” books for my grandson] We broke for a light meal after this, thanks to Lisa Demos and Janet Marsh. Many thanks also to Kathie Olden for organising this event. Let's hope for many happy returns!

Our guest speaker was Linda Tubnor who has had success with short fiction. She entered the 'Sisters in Crime' competition and won! Her prize-winning story was included in thier recent collection of winning short stories, 'Scarlet Stiletto: the second cut'. She read out her story. It was heartening to hear from someone at the beginning of their writing career. Thank you, Linda.

Events report: Jennifer Fell spoke re RiAus which is a science-based foundation. They are planning to come to Gippsland/BBWN in August or September of this year. Our last event with them in 2010 was one of the best ever.
The Writers' Days are held on the first Saturday of each month at Drouin Library. They provide a quiet space for writers. There are two projects that are currently being considered: a continuing story which is to be written by different members, rather like 'Threads' which we did a few years ago. Also a haiku project whereby members contribute a line each to a three line haiku.
Pre-Scribe 4: Guidelines are out and we are awaiting more submissions. We have two so far! The guidelines will be emailed again. Janet will also send them to the Artists' Network.
Publicity: when possible we will notify members a month ahead of the details re the coming speaker. This will be in the form of posters. Everyone is welcome to attend. The following Friday, 18th May at 8pm a rock band, “Shy Robin, will be playing and an illustrator will be paining them as they perform. Nansi's topic is “Why YA?” It's a brief look at what the Young Adult genre is, the nature of the market, what publishers want and why she writes YA rather than adults' or children's books. The presentation will be followed by a Q & A session and a brief writing activity. Check out Nansi on Google or Facebook – we're in for a great evening. We are so fortunate she was available to come and speak to us so why not invite your friends or any others you know who are into YA fiction!

Pre-Scribe 4. There was considerable discussion over our hopes for the anthology. It would be awful for it 'to fall over'. In the end it was decided to launch it during Ficofolia 2013. This would enable the editorial team to workon it over summer. The majority of those present agreed with this decision. Jean offered her services to produce the booklet. It will be the decision of the editorial team as to whether a more sophisticated computer programme is needed to produce the quality needed for the submitted art work.

WORKSHOPPING After supper we did critical appraisals of members' work. This is always a rewarding and learning experience. Thanks everyone for your active participation.

February 2012 Meeting Minutes
WELCOME Lisa was held up on the motorway because of the flooding so Liz Jacobsen welcomed everyone. We were keen to implement the new policy of getting business dealt with promptly and starting on time and so we started bang on 6.30.
CREATIVE WRITING EXERCISE Led by Kim Mullins. Thank you Kim for the challenging task of 'Building a poem from a quarry of words'. [very tricky but with some stunning results]

CORRESPONDENCE/COMMUNICATION Karen Pierrehumbert. Karen's resignation as editor/layout/printer manager, because of family and work commitments (and understandably so) leaves us in a difficult position. If anyone can do the editor's job or any of the others, please let us know asap.
FINANCIAL REPORT No report but we are in a strong position financially. Ficofolia brought in a good amount from entry fees and the raffle.
NEW BUSINESS
Events reports:
Ficofolia poetry night. Bill Frew reported on an excellent night – our best yet. There were over 160 in attendance. There was a heated discussion re the possibility of compiling a CD from the event. The costs would be minimal. Our challenge, of course, would be the marketing of it.
Esther raised the issue of the lack of hygienic facilities for washing the dishes and if they would pass a 'health and safety' check. [probably not.] There was also the question of how much time it takes out of the catering/washing crew's enjoyment of the evening. Could we hire two high school students to do this task next year?
The idea of a matinee on the Saturday in next year's programme was raised.
In the absence of our publicity officer, Kathy Garraway, Bill offered to write an article for The Gazette and also see David about putting it on the website.
Olive Lyon also offered to be 'Reading out aloud' coach for next year. [thanks everyone – great effort]
Writers' Day: Jennifer Fell has organised that the Drouin library side-room be opened on Saturday, March 3rd from 1-4. This is a very casual arrangement. Come along if you need some peace and quiet in order to do some writing.
Cafe Arts: it was noted that this is on the same day as the Writers' Day. It is in the afternoon at Warragul Community House.
Writers' Retreat is on March 17 – details to follow
RiAus: this will be a one-off event in July or August. We are awaiting news from them with more details.
Raffle coordinators: Barbara Erskine and Kim Mullins have volunteered to be raffle coordinators for this year. This means that at any time you can bring along items to the meeting and they will hold onto them in preparation for the next event/raffle we hold.

PRESENTATION After the break Rodney made an early start on his 'Haiku presentation'. Through slides and haiku, using his own photography and poetry, Rodney opened up the world of haiku, tanka and several other Japanese/Anglicised forms of this intriguing poetic voice. Thank you Rodney for an outstanding presentation.

An offer has been made from RiAus to return to PWW and bring another programme. Although we are not hosting PWW this year [see email programme]. We have said “yes” to their offer. Jennifer and Carol will follow this through. Kathie Olden is to pursue the idea of hosting it in Drouin Library maybe as a joint venture.
A christmas card was received from Rachel Lucas from ABC Radio. [appreciation was expressed]
We have declined to renew our website name with “Domain”

We have $2,740.40 in the bank with more deposits to be made, therefore we are in a better financial position than we were this time last year.
Currently we have 27 financial members.
NEW BUSINESS
Programme and publicity. The new programme is organised for the year. Janet will date each new programme from now on as changes are made. Kathy is to actively seek free advertising spots each month.
Pre-Scribe 3 distribution. We need volunteers to distribute the anthology around the district and keep track of them. These people volunteered for the Arts Market this weekend: Jeannie & Kathie and Bronwyn & Esther.
Membership. We need people to fill out their membership forms and pay the subs that were due last October.
Sub-groups for feedback. Liz explained how their subgroup was formed and how it functions. Members are encouraged to seek like-minded people and form feedback subgroups.
Ficofolia. Friday, February 10th is the Poetry Evening. These jobs were assigned:
- Door/float/tickets: Liz and Jennifer [need one more person]
- Raffle: Barbara and Kim [have you sent in your donations yet?]
- Selling Pre-Scribe3: Esther with a card table will sell before and at half-time
- BBS Risk assessment form: Jeannie
- Cheques payable to people on the night: Liz
- Cleaning: Jennifer, Kim and Kathy. Jeannie will go with someone before February to see the owners. We are hiring it at $300 so major cleaning ought to be done for us.
- Cheese/fruit/cracker platters (8): Karen and Lisa [they buy it and are reimbursed]
- Tea/coffee: Maree and Jean [they buy it and are reimbursed]
Landmark is donating $500 to the event so needs to be given tickets, copies of Pre-Scribe3, thank you note and made mention of during the event. [Mary Young is also donating $100 for advertising leaflets to be placed on chairs as per 2011]

MEMBERS' RECENT SUCCESSES
Rodney was present at the launch of a new Tanka Anthology in Canberra; he has had published a set of haiku in “Simply Haiku/Tanka”; he has collaborated with Patricia Prime in several Tanka sequences four of which have already been accepted for publication; he has done editing work on a Tanka publication “Snipe from a Marsh”; he entered a competition “Snapshot Press” in 2011 and nine poems (the most of anyone) have been published. A reference to Pre-Scribe 3 will be made in the latter – this means our anthology is now internationally acknowledged! [I scrawled these notes on a scrap of paper during a mobile phone call in parked car on a noisy road! I hope I have most of them correct...]
Lisa was runner-up in an unpublished manuscript competition.
Bronwyn's “Sundays with Harry” was the second highest ranked story on the website she contributes to.
Jeannie completed a feature writing course with Jane Sullivan.
Olive had a letter published in “The Gazette”.
Later news: Mary Young along with Tracey Gaylard have written a script for a TV series. They are now working on a play called “Weightloss Wendy”. This is booked to play at The Butter Factory in May. There will be four performances. The play is nearly finished ready for rehearsals in February.
JEANNIE'S PRESENTATION An original piece of Anita George calligraphy was presented to Jeannie for her seven years of service to the BBWN.
COMPETITIONS/PROJECTS Watch for the library limerick competition in February. The Hub is running a summer solstice gathering in June and short pieces will be needed for this.
