BBWN Meeting August 18, 2016
Meeting opened: 7:12pm
Present: Naomi D, Cor R, Cass R, Jenn F, Julie RF, Phoebe H, Mark, Jenny, Kathie O, Rodney W, Ruth,
Apologies: Keith, Leah,
Executive handover – Naomi explained what is happening re the handover (current members stepping down and new members to take on the roles with help for September meeting and official handover will occur at Oct AGM), Cass explained the role of Treasurer which is yet to be filled.
Secretary will be Phoebe H
President will be Julie Rosewarne Foster
Rodney – formally nominated Julie for the position of President, Jenn F seconded. Julie accepted.
Kathie – formally nominated Phoebe for the position of Secretary, Mark seconded. Phoebe accepted.
Phoebe – formally nominated Jenny for the position of Treasurer, Jenn seconded. Jenny accepted.
Positions to be formally handed over at AGM.

Successes:
Cor – short story published on Regal Fox; 3rd in National Poetry Slam.
Mark – 100th page of novel.
Naomi and Cor – performed in National Poetry Slam's Warragul Heat at West Gippsland Library. Cor placed 3rd.

Presented with an image of a woman and given the directive to write about 'what's outside the window'.

Matters arising from previous minutes:
BBQ fundraiser – Booked for 5th November. Cass cannot attend, so without another member who has a food handling cert, this needs to be cancelled. Group decision to cancel this BBQ - Naomi to do so.

New business:
Current executive stepping down: Group may become unincorporated, though writing ‘meetings’ may still run if no members take on the executive roles. Discussion regarding logistics of this change - official email being sent out to current members outlining details and requesting members to take on executive roles. Further discussion regarding current funds and their use if incorporation does close:
Naomi: potential speaker - someone in publishing?
Kathie: if donated to library, rather than a writing competition, perhaps for use in the pursuit of writing?
Jenn: stipulating that donation is for a writing competition makes significant extra work for library.
Further discussion followed around the declining attendance at meetings and the difficulty in getting volunteer guest speakers when they are not being paid/conversation about this being their livelihood.
Slam Poetry event at Warragul Library: 29th July. Some members hoping to enter.
Jenn F recommended those interested to attend Maxine Benever Clarke's Melbourne show Monday evening - a slam poet.
August meeting special guest: Spider Lee, children's author, attending the August meeting to talk to members about her books/writing process.
Membership prices: Half price membership til Oct/discussion about refunding this if the group becomes unincorporated, though no decision reached.
Melbourne Writers Festival – tickets on sale tomorrow (22nd July) - event running 26 Aug – 4 Sep

Presented 3 positive options (favourite colour, most loved game as a child, most cherished place as an adult) and 3 negative traits (most hated sound, worst dread as a teenager, first enemy/most negative presence). Directed to select 4 of these – 2 good, 2 bad – and use all 4 in a written piece (ie, prose fiction/memoir/poem).

BBQ fundraiser – Naomi was looking into this: dates are booked for July 2nd and Nov 5th. Safeway in Warragul – advertises the group/raises money. Volunteers being sought for the next BBQs (9am – 2pm).
Poetry Day – held at Warragul library: Naomi, Cor, Rodney, Keith, Kathie attended. World Poetry Day workshop: Lia Hills (guest writer – published poet and novelist). All accounts talk of an excellent morning.

March workshop (Leah) – went really well despite hiccup re location. Removing the Roadblocks as a writer.
Discussion night: social night attendance has been dropping significantly/the last few months have seen only 1-2 attendees at each. (7.30pm start time). Lea asked if there was potential to have the ‘social’ portion during the meeting? Mentioned that could there be a week of advance notice re attendance. Phoebe mentioned her café is available as a space. Tony – willing to move around/happy to be involved. Will run at Café Obsession on May 5th to trial this. Bring along a book to recommend.
Critique group: Naomi explained what the critique group was/how it was ran. It hasn’t been running this year; putting out requests for someone to potentially run the critique group. Could an email address be created for this purpose/to manage this. Cor to email the group to see if anyone willing to take on the role.
Prescribe: committee needs to be formed if this is going to happen for next year. Writing pieces need to be submitted this year (by November 17 meeting); committee of 3 members to be formed to edit the anthology. Rodney’s comment that the writing activities we have each meeting could potentially become the writing pieces that end up in the anthology.
Statement re thanks – Cor. Jenn F has been a superstar in helping me manage the workload while I’m so busy, particularly with March workshop.
Successes:
Cor - Ethics approval to interview Isobelle Carmody for thesis.
Rodney – experimental poem in three columns: reads vertically and horizontally. Difficult to print due to formatting issues. Southerly has accepted this piece. Should be in the April edition of ‘The Long Paddock’

Ficifolia Poetry Night - 1 Pre-scribe sold; Rodney made some sales too.
Membership fees: Reminder that memberships are now overdue.
Creative Writing Exercise volunteers: 2016 creative writing roster was passed out and volunteers accepted. Roster not yet full so to be passed around again at February meeting to fill in remaining dates.
Pre-Scribe: now bi-annually, instead of annually. Discussion re: committee and beginning to produce writing submissions. This may need to be discussed with members via email.
New banner: given the old one has vanished, move to purchase new one. Request info from Jenn F; more weighted? Lorraine – arrangements for a central location to store these things, Kathie O – suggested that we use the cupboard; replace lock on this so that we can use it effectively. Move – Lorraine, Second – Kathie O.
Workshop speakers: (Cor) Would the group be willing to pay speakers to come share their knowledge? $200 plus travel expenses. Moved – Cor, seconded – Cass. Group discussion re appropriateness of expecting people to give their knowledge for free.

Kathie – Geraldine Burrows – released a few books; donated to Library and to BBWN, especially to Rodney.
Kathie – Saturday 19th March, WW Poetry Day, World Harmony Day: Warragul Library, Poetry Workshop and potential open mic. Facilitator: Lia Hills (poet). All ages (10+), Same day – regular Lego club at the Library – ice breakers incorporating the Lego. Cor R – post info for this on BBWN website.
