Ficifolia Festival Poetry Night:
Jeannie Haughton has asked if the BBWN want to help organise or just participate. The matter was put to a vote. A majority of members voted not to be involved with organising (kitchen, etc.) but to hold raffle and sell Pre-Scribe 5
Raffle items for Poetry Night are to be dropped off at Bronwyn's store, The Mystic Owl, Shop 3, McLennan's Arcade, Victoria Street, Warragul. Bronwyn is open 10 - 5 Mon to Fri, and 10 - 1 Sat.
Meeting times:
It was put to the meeting that from January 2014, we revert to our original meeting time of 7.00pm to 9.30pm.
This would allow members who work, travel to meetings, or have family commitments to be present for the start of the evening.
The issue was put to a vote, with the majority voting in favour of the change. This comes into effect from the January 2014 meeting.
Playing With Words:
Bronwyn put it to the meeting that we revive Playing With Words in 2014, the 10th anniversary of the founding of BBWN and the original PWW,
When put to members, the majority voted in favour of holding Playing With Words. Bronwyn will be emailing members to seek people to join the PWW Committee.
Lorraine Proctor has already indicated that she is willing to do so.
Treasurer's Report:
Jean Marler has officially handed the position of Treasurer over to Paul Degraaf.
The current accounts are available for inspection on request.
Bronwyn thanked Jean for her work within and for the Baw Baw Writers' Network of behalf of members.
Jean is leaving us to return to England early in the New Year.
Pre-Scribe 5 Update:
Jenn thanked people for submissions.
Other Business:
Esther has volunteered to be the tea & coffee officer. The Network will reimburse any costs.
As of the January meeting, supper will be biscuits and drinks. BBWN will supply the biscuits.
Paul Degraaf has installed a lock on the BBWN cupboard in the kitchen. We will be reimbursing him for costs.
BBWN now owns a projector. Thank you to Mikaela for purchasing on our behalf.

WELCOME
Jennifer Fell led the meeting and welcomed everyone.
WRITING EXERCISE
Naomi gave us a great exercise on the spot. For each of the following: setting, time, challenge/situation/character, choose a number from 1-14. Then for each category, 14 words were read out and when your chosen number was read, you had to use it in your story.
Eg. A midwife, on New Years, A death has occurred, set in a polluted stream or other variation. (Thanks Naomi.)

Financial Report: Jean advised the balance is $3782.35. Acceptance moved by Jean Marler and seconded by Bronwyn Hansen.
Events Report
· Coal Creek Short Story Competition – Now open. Details are on the Coal Creek website.
· Writing Day at Yarragon Arts Hub – At 2 Murray St, Yarragon, on Sunday August 25. Starting from 10:30 until around 3:00-3:30. This is a day to come and be inspired by the art in the hub, work up something for Pre-Scribe, seek encouragement or readers for you work or have a coffee and talk writing with other members.
· Mossvale Park – Haiku ginko/short fiction day. Rodney Williams has agreed to lead us in a haiku walk (called a ginko, he will explain more fully later), around Mossvale Park. This is to be on Sunday October 20th. This is not strictly a haiku day, but also short forms responding to the surroundings. So not a day to edit, but to write and share new stuff. More to come later on, closer to the date.
· Pre-Scribe – Submissions are now open. The guidelines are on the web already but will be mailed around to the membership. Jennifer reminded everyone that the closing date for submissions is October 27.

Financial Report: Jean advised the balance is $3817. Books were left on the table at home due to bad weather and trying to get the cat in before heading out for the night.
Events Report

Jennifer announced that she will contact the local arts alliance and Gippsland artists to call for visual submissions to be included.

BBWN CREATIVE WRITING EXERCISE
Lorraine Proctor led us in the exercise. We had to write a story that revealed details about the protagonists using only dialog. A number of dialog fragments were offered with which to begin or end the piece.

· Writing Saturdays – Lorraine Proctor attended the last Writing Saturday and was most productive.
Publicity Report
· As well as her regular monthly notice in the paper Olive has added our meeting to the community event calendar.
· Olive has booked a space in the Arts Hub for us to display samples of our writing for two months starting from July 2nd.
NEW BUSINESS
Bronwyn announced:
Esther reminded us of the U3A Literary Lunch
· It is on 9th July

· It features a presentation by famous author Kylie Ladd

Bronwyn requested and was granted permission to reproduce the Pre-Scribe Cover for an online article, (subject to Helen Timbury’s approval).
A presentation at the Warragul library by author Susan Duncan is due to occur at some stage in October
RECENT SUCCESSES
Cassie showed us her first work in combining her love of writing and photography. These were in frames and presented for our enjoyment during supper.
Lorraine got an honourable mention in the Henry Lawson Short Story Competition.

Mikaela led us in the exercise. She took us through an example of writing that was highly descriptive but used humour to help maintain the users attention. Thanks for the exercise and the effort that went into it.

· Writing Saturdays – David Mansfield gave a report on the previous Writing Saturday
· Pre-Scribe – Mikaela broached the topic of getting the next Pre-Scribe edition started. Volunteers for the editorial committee are Kathy Garraway, Jean Marler, David Mansfield, Mikaela Power, Naomi Duff and Paul Degraaf. We will organise a get together to discuss the required roles.
Publicity Report
· Mikaela has set up a BBWN Facebook Page to increase our internet exposure.
Banner Report
· Photos just need to be selected and the banner will be created.
NEW BUSINESS
· Writers’ Retreat - We should consider running a Writers’ Retreat as we have done in other years. Locations suggested included: the Warragul RSL Hall (The place with the big gun out the front) and Mossvale Park).
· Au Lapin Noir - We’re hoping to have a good attendance at Au Lapin Noir this weekend!
· The U3A annual Literary Luncheon will be held on Tuesday, 9th July at the Black Tie (formerly Elizabethan Receptions) from noon for a 12:30 start. Cost will be $35.00 for a two-course meal. The guest speaker will be well-known Melbourne author Kylie Ladd.
RECENT SUCCESSES
· Lisa Demos has written a short story that appears in a new anthology “Warrior Women”
· A bird-loving man: haiku and tanka was launched by Rodney at Lisa’s Bakery with great atmosphere. Written by Rodney, illustrated by local artist Helen Timbury and published by Ginninderra Press - 48 copies were sold on the night as well a significant amount of artwork.

o Poetry / prose can be mounted on a wall space in the Yarragon Arts Hub for $10 for two months
o A request for a clear set of goals for our Network was raised to better judge how much publicity we need to achieve these goals.

o The new logo is on Banner
o No photos were forwarded for the Banner
o The website should be included on the Banner rather than where/when we meet.
o Secretary to find out the shape/size/material of the Banner
o Olive has four flags on poles (In a Japanese style) that she can bring to events if required.
o We should build a brand by making the Banner, website, etc a common theme

o Alice and Kim are always accepting donations for use as a raffle prize.
o A reminder should be made to the group at each or every other meeting.

Jean Marler presented the Financial Report. It appears that the Pre-Scribe Launch and the Poetry Night have both been very successful though a number of costs and grants are still to be accounted for.

Membership Report
· Our 2013 (current) membership stands at 28 individuals, 6 who have promised to join, 6 new enquiries and 19 attendees/non-renewing members to be chased up.
Events Report
· Pre-Scribe – The Pre-Scribe launch went very well with only 38 copies left at the end of the night.
· Poetry Night – Jeannie Haughton
o The night was a success
o Kathy’s Blue hat and IQ’s white plastic bag of performance items are missing from the night. If anyone has these can you please bring them along to the next meeting.
· Writing Saturdays - Ford Carter
o We had three attendees with plenty of writing taking place on the day.
· Arts Market – Secretary
o There will be one more market for the year, (which has now moved to Civic Park).
o The secretary will send an email for volunteers to run the stand and if there is sufficient interest organise for our attendance.
Publicity Report
· Olive Lyon reported that her monthly article to the local paper was printed and that she plans to continue submitting articles on a monthly basis.
Banner Report
· Jeannie Haughton reported that Simon has the files to be printed onto the banner but with the change of logo they will need to be revised before printing goes ahead.
· Control of the Banner handed to the Exec.
Correspondence Report
· Latest correspondence can, as always, be found on the website and primarily consists of a number of new competitions that have been posted.
· The secretary moved that the Correspondence Report be discontinued with the availability of the website. The motion was approved by unanimous consent.

David Mansfield led us in the exercise. We looked at how an examination of the moving parts in a piece can generate the plot on their own. Thanks for the exercise and the effort that went into it.

o Jean and Jeannie are deserving of particular thanks for their significant contributions getting Pre-Scribe to the printer.
o Saturday mornings at the Arts Hub it would be good to have people sell it.

o It will be held on the first Saturday of each month from 1pm to 4pm.

o We will not attend the January Market.
o We are looking volunteers to man the stand for future months.
o Ford has indicated he is willing to help out with the Arts Market stand.

· Rodney submitted an article for the Trafalgar news.
· Posters for next month's meeting are available. Please distribute them around the district.

Jeannie was given permission to proceed last meeting but Jeannie’s absence meant no update was available.
Correspondence Report
A couple of notices have been posted from competitions that we have been requested to enter.
NEW BUSINESS
· Revised Logo
o New logo options were revealed and the membership took a vote on which logo they would like to use going forward. The old logo was amongst the options but polled poorly compared to the newer, better resolution versions that were available.
o The winning logo will be featured on the website and will appear on the Pre-Scribe 4 publication.

WELCOME
Jennifer Fell led the meeting and welcomed everyone.
WRITING EXERCISE
Naomi gave us a great exercise on the spot. For each of the following: setting, time, challenge/situation/character, choose a number from 1-14. Then for each category, 14 words were read out and when your chosen number was read, you had to use it in your story.
Eg. A midwife, on New Years, A death has occurred, set in a polluted stream or other variation. (Thanks Naomi.)

Events Report
· Coal Creek Short Story Competition – Now open. Details are on the Coal Creek website.
· Writing Day at Yarragon Arts Hub – At 2 Murray St, Yarragon, on Sunday August 25. Starting from 10:30 until around 3:00-3:30. This is a day to come and be inspired by the art in the hub, work up something for Pre-Scribe, seek encouragement or readers for you work or have a coffee and talk writing with other members.
· Mossvale Park – Haiku ginko/short fiction day. Rodney Williams has agreed to lead us in a haiku walk (called a ginko, he will explain more fully later), around Mossvale Park. This is to be on Sunday October 20th. This is not strictly a haiku day, but also short forms responding to the surroundings. So not a day to edit, but to write and share new stuff. More to come later on, closer to the date.
· Pre-Scribe – Submissions are now open. The guidelines are on the web already but will be mailed around to the membership. Jennifer reminded everyone that the closing date for submissions is October 27.
Publicity Report
- Olive has once again done a grand job in negotiating the quagmire of submitting the required notices to the various newspaper segments: Community News, Calendar etc. Olive has also organised a promotional slot at the Arts Hub for showing our work (poems mainly due to the size of the board.) It is $20 for two months, BBWN will reimburse.
NEW BUSINESS
- Two Day Poetry Event: Bill Frew introduced the idea of a 2 day poetry festival/event to be held in Drouin over the weekend of Friday 22nd-Saturday 23rd – Sunday 24th November. This is the idea of one of the poets from this year’s Poetry Night: IQ from Memphis who will attend, bring his buddies and also visit some local schools. Proposed events include: Saturday Haiku Fight Club from 3-5pm, Dinner at Au Lapin Noir (or the Royal) and then a Bucket Pool (poems go into the bucket and poets draw out at random to read). Members present were very supportive.
- Poetry Night: Holding next year’s Poetry night was also discussed. Did the group want to continue? The answer was Yes! Brief feedback was given to Bill about the Poetry Night, in particular how it could be improved for next year, namely hiring in the washer-uppers and the bar staff – it was also suggested that maybe the staff could be poached for the night from Au Lapin Noir. BBWN is to notify Cameron Gray – Ficifolia President that BBWN wishes to put on the event next year.
Networking this poetry event with other groups was also discussed and names of other groups were brainstormed. Addition to the existing list from JH of BBWN, BBAA, WGLC, Artists on facebook, GOWAAN, Yvette and Tanya, Schools were the Arts and Culture office at Baw Baw. - Bill plugged his serial show on 3BBBR – 20 to 9 (8:40 every Wednesday), entitled “Special Arrangements.” 3BBR radio is FM 103.1
- Email Sharing: When authors share their work for review they should indicate if they are happy to have their work shared with the group generally. If so, they may want to put a copyright statement on the front of their work.
- Mikaela has secured a projector for the BBWN to use. The BBWN will reimburse Mikaela for the projector and its security.
ACTIVITIES
We undertook the following activities:
- Workshopping: Naomi’s Poem was vigorously discussed, while in the prose group Jennifer’s work was reviewed.
- Next month: Prose from Bronwyn and a poet still to volunteer their work.

Financial Report
Financial Report: Jean advised the balance is $3817. Books were left on the table at home due to bad weather and trying to get the cat in before heading out for the night.
Events Report

Jennifer announced that she will contact the local arts alliance and Gippsland artists to call for visual submissions to be included.
Publicity Report
- Olive has purchased a board and bought space to display a selection of our work at the Yarragon Arts Hub. But the board is small and not in a suitable place. So Olive was advised to get a bigger board. Can BBWN finance this? We all agreed to do this. .Thank you Olive. We need to check with Olive as to what board the Hub will accept, if there is a limit on size, and how much it will cost, but in principle this proposal was very much accepted. There was discussion on lining up work to be replaced on the board so that there is not always the same pieces on display and also questions about length and size. We need some more details from Olive on this and we can discuss next time.
NEW BUSINESS
- Carolyn and Emma came from Mt Baw Baw to relate details of their new Arts and Culture Program. They want to open up the mountain beyond the adventure sporting stuff.
- Carolyn and Emma spoke of a Writer-in-Residence program looking for a local or published author working on something based on or around the mountain or of historic interest.
- Carolyn and Emma hope to hold two night Writers’ Retreats on the mountain in the summer. Cost would be reasonable ($200 for transport, bus, lodgings, and meals) and also tutelage of a kind to be decided either with a guest speaker or the W-I-R. A communal dinner was also included. The group decided this was very interesting and hope to pursue it further. Further details are on their website and the Archibawbaw facebook page.

BBWN CREATIVE WRITING EXERCISE
Lorraine Proctor led us in the exercise. We had to write a story that revealed details about the protagonists using only dialog. A number of dialog fragments were offered with which to begin or end the piece.

· As well as her regular monthly notice in the paper Olive has added our meeting to the community event calendar.
· Olive has booked a space in the Arts Hub for us to display samples of our writing for two months starting from July 2nd.
NEW BUSINESS
Bronwyn announced:
- The ABC is helping to start up a new Writers’ Group in the Latrobe Valley. A Writers’ Workshop is being held on Wednesday 26th July – it is free but you must register via 5176 3559.
- A Gippsland Online Writers Network is available on Facebook
Esther reminded us of the U3A Literary Lunch

RECENT SUCCESSES
Cassie showed us her first work in combining her love of writing and photography. These were in frames and presented for our enjoyment during supper.
Lorraine got an honourable mention in the Henry Lawson Short Story Competition.

ACTIVITIES
We undertook the following activities:
- We discussed the results of Naomi’s previous exercise to develop an in-depth character description
- We discussed the next project to write a piece that is up to 1500 words of prose or 70 lines of poetry in which the developed characters meet a significant challenge.
- We discussed BBWN Activities generally and decided to recommence the practice of breaking into poetry and prose groups to review and critique each other’s work. Work to be reviewed is to be distributed electronically directly after the meeting for review the following meeting.

NEW BUSINESS
· Writers’ Retreat - We should consider running a Writers’ Retreat as we have done in other years. Locations suggested included: the Warragul RSL Hall (The place with the big gun out the front) and Mossvale Park).
· Au Lapin Noir - We’re hoping to have a good attendance at Au Lapin Noir this weekend!
· The U3A annual Literary Luncheon will be held on Tuesday, 9th July at the Black Tie (formerly Elizabethan Receptions) from noon for a 12:30 start. Cost will be $35.00 for a two-course meal. The guest speaker will be well-known Melbourne author Kylie Ladd.
RECENT SUCCESSES
· Lisa Demos has written a short story that appears in a new anthology “Warrior Women”
· A bird-loving man: haiku and tanka was launched by Rodney at Lisa’s Bakery with great atmosphere. Written by Rodney, illustrated by local artist Helen Timbury and published by Ginninderra Press - 48 copies were sold on the night as well a significant amount of artwork.

Jean Marler presented the Financial Report. It appears that the Pre-Scribe Launch and the Poetry Night have both been very successful though a number of costs and grants are still to be accounted for.

· Our 2013 (current) membership stands at 28 individuals, 6 who have promised to join, 6 new enquiries and 19 attendees/non-renewing members to be chased up.

· Pre-Scribe – The Pre-Scribe launch went very well with only 38 copies left at the end of the night.

o The night was a success
o Kathy’s Blue hat and IQ’s white plastic bag of performance items are missing from the night. If anyone has these can you please bring them along to the next meeting.

o We had three attendees with plenty of writing taking place on the day.

o There will be one more market for the year, (which has now moved to Civic Park).
o The secretary will send an email for volunteers to run the stand and if there is sufficient interest organise for our attendance.

· Olive Lyon reported that her monthly article to the local paper was printed and that she plans to continue submitting articles on a monthly basis.
Banner Report
· Jeannie Haughton reported that Simon has the files to be printed onto the banner but with the change of logo they will need to be revised before printing goes ahead.
· Control of the Banner handed to the Exec.
Correspondence Report
· Latest correspondence can, as always, be found on the website and primarily consists of a number of new competitions that have been posted.
· The secretary moved that the Correspondence Report be discontinued with the availability of the website. The motion was approved by unanimous consent.
NEW BUSINESS
- Event Journalists – When we have events it would be good if we could allocate someone the responsibility to provide a brief report with photographs for the website so the world at large could see how active we are.
- Grammar and Punctuation classes were proposed by Liz Jacobsen with further follow-up to take place next meeting.
- Supper Volunteers – Ford and Esther volunteered to provide supper for the March and April meetings respectively. Thank you to Ford and Esther for volunteering.
- Project Volunteers – Ford has volunteered to provide a Project for the group at the March meeting. The secretary will send an email to the group asking for more Project Volunteers.

A couple of notices have been posted from competitions that we have been requested to enter.
NEW BUSINESS
· Revised Logo
o New logo options were revealed and the membership took a vote on which logo they would like to use going forward. The old logo was amongst the options but polled poorly compared to the newer, better resolution versions that were available.
o The winning logo will be featured on the website and will appear on the Pre-Scribe 4 publication.

ACTIVITIES
We had two activities this week:
- Readings – Thank you to Esther, Carol, Naomi and David for sharing some of their work.
- Homework - David handed out a Belbin Team Roles questionnaire.
We also discussed the new Activities section of the meeting
· The membership requested more workshopping opportunities be a part of the Activities section.
· Next month we will aim to review the homework, workshop in small groups and start a new homework exercise.
NEXT MEETING
Our next meeting is on February 21st. We start promptly at 6.30 with a creative writing exercise.
